Application Process
Please contact us to make a booking. We will take you on a viewing of our apartments and facilities. If you are out of town, we can send you a detailed Property Description plus Video link of the property you wish to see.
Applying online is an easy and simple process and shouldn’t take longer than 3 minutes. If you have any difficulty, please do not hesitate to contact us.
Step 1: To make an application, simply log onto our website and select the Apply Now button at the top right of the screen.
Step 2: Enter in your details on the online application form.
Step 3: Once you have entered in your details and submitted your application, our team will review and respond to you via email.(Please note, no money needs to be paid up till this stage)
Step 4: If your application is successful, we will send you the Lease Agreement along with a pro-forma invoice for your deposit.
Step 5: Kindly return the Lease Agreement signed in full by the tenant (student) as well as guarantor, along with the proof of payment for the Deposit. Please remember to attach copies of ID’s for both the tenant (student) and guarantor. The Heron SquareAllocation Policy is on a first come, first serve basis. The Deposit will need to be paid as well as the Lease Agreement signed before your room is confirmed. Please note, the payment needs to reflect on our side before the booking is confirmed.
The Lease Agreement is for a period of 12 months or could be for a shorter period. Please contact us so we can email you a copy.
You can contact us to arrange check-in.
Yes, you may choose your roomie! Be sure to let a Heron Square Manager know well in advance or contact us.
You will receive an e-mail notification to confirm your application has been received. If you do not receive a confirmation email, please contact us.
Yes, you may be able to choose a specific room.
Rooms will be allocated according to our Allocation Policy and we will inform
you via e-mail of your unit number.
Your check-in date will be stipulated in the Lease Agreement. It is usually on the 1st of January and 1st of February each year.
When you arrive at Check-in, we will issue you with a set of keys for your apartment/room.
You will find the following in your bedroom.
- Bed, mattress and mattress protector
- Built-in cupboards
- Blinds / curtains
- Study Desk and chair
We have listed a few items as a guideline;

General House Rules
It is important to be mindful of the Heron Square House Rules, which are designed to create a harmonious, respectful and safe community. House Rules will be printed and displayed in all apartments.
Yes, you are more than welcome to invite friends over, but remember that you
are responsible for them and they must adhere to the Heron Square House Rules.
No, neither friends nor family may sleep over and no one can stay or sleep over in your room when you are not there.
Yes, all tenants have UNLIMITED high-speed free Wi-Fi. We know how important it is to be connected.
Please report any maintenance issues in your room/apartment as soon as possible to Gilbert. We will get it fixed by our permanent maintenance team.
Yes there are. Heron Square is responsible for the apartments that are being
let to you and it is important that they have peace of mind that all apartments
are being checked regularly and maintained well.
You may not smoke in your room or any part of the building. You may only
smoke at the designated outside smoking areas. There will be fines issued to those persons who are caught smoking in non-smoking areas.
Checking Out
You will be required to check out only if you are not staying for the following year. Your check out date will be stipulated in the Lease Agreement. This is usually at the end of December/January.
You may leave your belongings in your room when away on holiday. Please make sure your room/apartment is locked and please notify the Heron Square Manager that you will be going home for the holidays.
Your deposit will be refunded within 14 business days, provided the conditions set out in the Deposit Refund Policy have been met. Please see ‘Policies’ for more information.
Safety & Security
The area is covered by OSS security, which Heron Square has initiated with other landlords in the area. This offers 24 hour foot patrol security.
- Do not walk alone at night in quiet streets. This increases the risk of having a security related incident.
- Ensure the house is locked and all exterior facing windows are closed at night.
- If a suspicious person or car is noticed, ensure to get a detailed clothing description or description of the vehicle including: Reg Plate, Colour, make, model, new or old.
After Hours Benji will be available to attend to any issues. He has direct communications with all medical services as well as police, law enforcement and Metro Police. He will ensure that you get a prompt response from the necessary parties involved.
